To ensure the smooth and effective administration and management of the MD’s office, including scheduling, travel, engagement, activities, and communication between the MD’s office, board, staff, external stakeholders, customers, clients, and others, we are seeking a highly experienced and driven individual to fill the position of Executive Assistant.
Responsibilities
1. Board Meetings:
- Uphold and improve internal procedures that assist senior executives and guarantee smooth operations.
- For board meetings, organize and prepare the board packs.
- Assure board directors of lodging and transportation to and from the airport.
- Make certain that everything required for and during board meetings is available.
2. Scheduling and coordination:
- Oversee the MD’s personal and professional schedule, including agendas, correspondence, emails, phone calls, client relations, transportation, and other business-related tasks.
- Organize senior executives’ intricate calendar management and scheduling, as well as travel-related activities and logistics like lodging, meals, and transportation.
3. Corporate Social Responsibility (CSR):
- Create and develop initiatives that enhance MCL’s reputation in the fields of health, education, and the environment while guaranteeing sustainability in collaboration with the head of marketing, corporate affairs, and sustainability.
- Encourage further outside CSR initiatives.
4. Customer Care:
- Oversee the MCL front desk and guarantee effective customer service for the board, employees, clients, external stakeholders, and other internal and external customers.
- Coordinate team communications and plan internal, virtual, or off-site management office and company-wide events, conferences, workshops, and other engagements.
- Make sure that front desk staff are clever and polite to visitors, that they arrive on time, and that their attire reflects the image of MCL workers.
- Monthly summaries on front desk operations.
- Keep the reception’s atmosphere consistent.
5. Engagement Management:
- Oversee visitors and visits to the MD’s office, making sure every visitor gets the same wonderful experience working with MCL.
- Oversee interactions with staff, HoDs, and internal and external stakeholders to guarantee the completion of several projects and tasks.
6. General Administration:
- Assist with office and administrative tasks, including typing, dictating, creating spreadsheets, faxing, and maintaining the contacts database and file system.
- Handle calls, letters, minutes, supporting management reports, boardroom access and availability, and other administrative duties.

Minimum Qualifications and Experience
- Academic: Basic university degree.
- Experience: A minimum of 3 years in a related field.
- Skills: secretarial & customer care skills.
