With support from the United States Agency for International Development (USAID), the Jane Goodall Institute Tanzania is now looking to hire a skilled Tanzanian to fill the following open position:
By offering operational and administrative support to guarantee the office runs well, the administrative assistant will help the USAID Hope Through Action initiative. The chosen applicant will be crucial in supporting project operations, arranging paperwork, and enabling communication.
Key Responsibilities & Duties:
- Office management includes keeping the workspace neat, controlling supply, and supervising equipment upkeep.
- Support for Communication: Manage incoming and outgoing mail, phone calls, emails, and other communication. Encourage team members and stakeholders to communicate with one another.
- Document management: Help in creating, organizing, and disseminating presentations, reports, and other materials. Keep file systems up to date and make sure project material is easily accessible.
- Coordination of Meetings: Arrange and plan workshops, events, and meetings. Assist in the timely dissemination of information by creating agendas and taking minutes.
- Financial Administration: Process invoices, keep tabs on spending, and help with budgeting and financial reporting.
- Travel Coordination: Help with project staff travel plans, including lodging, transportation, and itineraries.
- Project Support: Assist with administrative tasks related to the project, such as organizing participant lists, interview scheduling, and data input.
- Compliance and Reporting: Comply with organizational and USAID regulations while keeping correct documentation for audits and assessments.
- Fulfill any additional duties that your company assigns you.
Minimum Qualifications and Other Requirements:
- Preferably, a bachelor’s degree in management, business administration, or a similar discipline.
- Two to five years’ minimum experience in administrative support or similar positions.
- proficiency with Word, Excel, PowerPoint, and other pertinent applications as well as the Microsoft Office Suite.
- strong organizational abilities, including the capacity to efficiently prioritize and handle many projects.
- Outstanding writing and vocal communication abilities in Swahili and English.
- had a keen eye for detail and the capacity to keep information private.
- the capacity to cooperate in a multicultural team setting.
- familiarity with foreign agencies such as USAID.
- familiarity with financial management techniques.
- knowledge of project management applications.
